PRIVATE DINING ROOM TERMS AND CONDITIONS

Please read these thoroughly before confirming a booking.


CONFIRMATION
All bookings are provisional until we receive the deposit, noted below. To confirm a booking, the attached pro-forma deposit invoice should be returned within 7 days otherwise your provisional booking will be released. At any point, should we receive a second enquiry for use of the room on the date of your provisional booking, you will be asked to settle the deposit within 24 hours. Failure to do so will result in the space being released to the second party.

 

ROOM HIRE AND DEPOSIT
There is no charge for the hire of the private dining room, however we do add a 15% gratuity to the final bill. In order to confirm a booking, we require a deposit of £320.00 (lunch) or £500.00 (dinner). The pro-forma deposit invoice must be completed in full to settle the deposit - we cannot accept credit card details verbally or in part. Deposits will be deducted from the final bill on the day, and the outstanding balance must be settled, in full, at the end of the event.

CANCELLATION
Deposits are non-refundable should you cancel or move the date of a confirmed booking less than 28 days prior to the function. Additionally, should you cancel or move the date of a confirmed booking less than 7 days prior to the function, you will also incur a cancellation charge of £100.00 per head, based on the number of guests anticipated. Charges apply to both lunch and dinner reservations.

 

GUEST NUMBERS
The private dining room can accommodate parties of between 8 and 18 guests. Final numbers must be confirmed by the date highlighted on the function sheet. Should the number of guests fall below this final number, the management reserve the right to charge for the number of guests anticipated. Charges for ‘no-shows’ and ‘drop-outs’ are as follows:
Attendees 1-7 guests: £100.00 per shortfall
Attendees 8-17 guests: £80.00 per shortfall
If your numbers drop below the prerequisite 8 guests and you no longer require use of the private dining room, we cannot guarantee table availability in the main restaurant. Should your guests be offered a table in the main restaurant, all private dining room charges for ‘no-shows’ and ‘drop-outs’ still apply. Should you wish to cancel your reservation, cancellation charges still apply. Charges apply to both lunch and dinner reservations.

 

MENUS AND DRINKS
Menus must be pre-selected in advance and any known dietary requests noted. No more than one option per course may be selected for the whole group on the £40.00 lunch menu. No more than two options per course may be selected for the whole group on the £85.00 Private Dining Room Menu. Dishes on the £105.00 Tasting Menu are pre-set by the Chef. All details must be supplied by the date highlighted on the function sheet. In addition to the prix-fixe menu, all drinks (including mineral water and coffee) will be charged for according to consumption. Wines for the private dining room must be reserved in advance. If wines or menus are not pre-selected by the date shown on the function sheet, the management reserve the right to make selections on behalf of the party.

 

TIMINGS
For lunch bookings access to the private room is from 12.00pm until 4.45pm, at which time the room must be vacated. For dinner bookings access to the private room is from 6.30pm until 1.00am, at which time the room must be vacated. Last orders at the bar are 12.45am (unless otherwise stated). If specific timings are required for an event, the management must be informed of these in advance.

 

FLOWERS
Fresh flowers can be provided in the room to an additional charge of £50.00 per arrangement, which will be added to the final bill.

 

LOSS AND DAMAGE
The Square restaurant accepts no responsibility for the loss or damage to any items left in its care. All items are left entirely at the owners risk.

 

INVOICING AND ACCOUNTS
We do not offer customer accounts, nor do we offer company invoicing. All outstanding balances must be settled, in full, at the end of the event. We accept all major credit cards and cheques with a valid cheque guarantee card.

 

GRATUITY AND VAT
A service charge of 15% will be added to the final bill. All prices quoted include VAT at 17.5%.
